Overview
Setting up your RICOH IM C300 multifunction printer (MFP) to use Microsoft 365 for Scan to Email can streamline your document management process. This guide will walk you through the necessary steps to configure your printer, ensuring smooth operation and integration with Microsoft 365.
Prerequisites
Before starting, ensure the following:
Disable Default Security Settings (DSS): Modern Microsoft Tenants with DSS enabled might interfere with the setup. Make sure DSS is disabled.
Enable Multi-Factor Authentication (MFA): Set users manually to MFA Enforced.
Verify Credentials: Test your scan credentials by logging in via an Incognito window at Microsoft 365 Portal.
Step-by-Step Configuration
1. Access Printer's Web Interface
Open a web browser and log in to the printer’s web interface using the device's admin credentials.
2. Navigate to Configuration Settings
Go to Device Management > Configuration.
Under Device Settings, select Email.
3. Configure Email SMTP Settings
Administrator Email Address: scanner@mydomain.com
SMTP Server Name: smtp.office365.com
SMTP Port Number: 587
Use Secure Connection (SSL): On
SMTP Authentication: On
4. Enter SMTP Authentication Details
SMTP Auth. Email Address: scanner@mydomain.com
SMTP Auth. User Name: scanner@mydomain.com
SMTP Auth. Password: Click on 'Change' and enter the password twice for confirmation.
5. Finalise and Save Settings
Scroll to the bottom of the page and click OK.
6. Test the Configuration
Have a user onsite to perform a test scan to email. Ideally, the user's details should be in the Address Book. Alternatively, they can manually enter their email address in the To field and perform a test scan.
